Where appropriate, and subject to authority or consent, information may also be received from a family member, employer, sponsor, authorised representative, government body, assessing authority or another person or organisation connected with your matter.
3. Why we collect, use and disclose information

- respond to enquiries and assess whether we can assist;
- manage bookings and conduct consultations;
- provide migration assistance and other professional services where engaged;

Where you engage us and it is appropriate to your matter, information may be disclosed to or exchanged with the Department of Home Affairs, other Australian Government bodies, skills assessing authorities, State or Territory authorities, employers or sponsors, professional advisers, interpreters, service providers or other relevant recipients, subject to the scope of our engagement, your authority and applicable requirements.
4. Website and online booking
Our website may collect limited technical information associated with normal website operation, such as information contained in server or security logs. If we introduce additional analytics, cookies or tracking technologies that materially change how information is collected, this policy will be updated as appropriate.
Our online consultation booking service is provided through Microsoft Bookings. When you choose to book a consultation, you are redirected to Microsoft's service. Information entered into the booking form is used by Easy Journey Advisory to manage your enquiry, appointment and related consultation and is also processed through Microsoft's platform in accordance with the service's applicable terms and privacy arrangements.
5. Online consultations, Webex, recording and transcription
Online consultations may be conducted using Webex. Where a consultation is recorded or transcribed, you will be notified and the applicable consent process will be followed.
Webex functionality may be used to generate recordings, transcripts, meeting summaries, notes or action items. Where generated in connection with professional services, relevant material may form part of our professional records. Automated or AI-generated outputs may contain inaccuracies and are not treated as a substitute for professional judgment or the underlying client record.
6. Service providers and overseas processing
We use technology and service providers to operate the practice, including cloud communications, email, scheduling, videoconferencing, website hosting and related business systems. Some providers may store or process information using infrastructure located outside Australia or accessible from other jurisdictions.
We take reasonable steps appropriate to our role to select and configure service providers with regard to privacy, confidentiality and security. However, the location and operation of third-party infrastructure can change and may be governed by the provider's contractual and privacy arrangements.
7. Security
We take reasonable administrative and technical measures to protect personal information against loss, unauthorised access, misuse, interference, alteration or unauthorised disclosure. These measures can include access controls, authentication, secure cloud services and practice procedures.
